Before submitting a request
Avellio Ltd provides recruitment services and develops and operates business software applications, including Avellio Connect. The right deletion route depends on your relationship with Avellio.
For recruitment records, website enquiries and Avellio’s own customer accounts, Avellio is the data controller and you can contact us directly.
Where a business uses an Avellio application such as Avellio Connect to manage its own customer communications, that business is normally the data controller and Avellio processes the information on its behalf. Requests about those conversations should normally go to the business first.
All requests can be sent to privacy@avellio.com. Please do not send passwords or unnecessary identity documents.
Recruitment candidate or worker
Candidates and temporary workers can request deletion of their recruitment profile by emailing privacy@avellio.com.
Please provide:
- Your full name.
- The email address or telephone number used with Avellio.
- A clear description of the information you want deleted.
Some placement, payroll, tax, contractual or legal records may need to be retained after your profile is deleted. We will explain what is retained and why.
Software customer or account administrator
An authorised account owner or administrator can request an account export or deletion by emailing privacy@avellio.com.
Please provide:
- The business name.
- The account email address.
- The application concerned.
- Whether an export is required before deletion.
We will verify that the request comes from an authorised account owner or administrator before an account is deleted.
Closing an account may affect your ability to access messages, contacts, attachments and account records. If an export is required, it must be requested before deletion is completed.
Authorised platform user
If your access to an Avellio application was created by your employer or another organisation, contact that organisation’s account owner or administrator first. The organisation controls your access to its account and can ordinarily remove your user profile.
You can also contact privacy@avellio.com if you cannot reach the account administrator or if your request concerns information Avellio controls directly.
Person who contacted a business using Avellio Connect
The business you communicated with is normally the data controller and should be contacted first. It is responsible for deciding whether the information can or must be deleted.
If you cannot identify or contact the business, email privacy@avellio.com and provide:
- The name of the business.
- The telephone number used for the conversation.
- The approximate conversation dates.
- A description of the information concerned.
Do not send passwords or unnecessary identity documents.
We may need to verify your connection to the relevant telephone number. We will then identify the appropriate customer and assist it in responding to your request.
General Avellio request
You can email privacy@avellio.com to request deletion of:
- Website enquiries.
- Marketing records.
- Support communications.
- Account-registration information.
- Other personal information directly controlled by Avellio.
Please provide enough information for us to locate the relevant records.
Disconnecting WhatsApp or Meta
A business customer may disconnect its WhatsApp Business Account from Avellio Connect using the available integration or account controls. If those controls are unavailable, the account owner can request assistance by emailing privacy@avellio.com.
Disconnecting an integration stops future information from being received through that connection. It may not automatically delete:
- Information already stored within Avellio Connect.
- Information held by the business customer.
- Information retained independently by Meta or WhatsApp.
- Records that must be retained by law.
A separate deletion request should be submitted where existing Avellio Connect data must also be removed.
What we delete
Depending on the request, deletion may include:
- Recruitment profiles, CVs and candidate communications.
- User profiles and account preferences.
- Contacts and telephone numbers.
- Conversation history, message contents and attachments.
- Internal notes, labels and assignments.
- Integration credentials and identifiers.
- Stored account configuration.
- Website enquiry, marketing and support records.
We will explain if any requested information cannot legally or technically be deleted immediately.
Deletion periods
Once a valid deletion request has been verified and approved:
- Approved information is ordinarily deleted from active systems within 30 days.
- Residual copies may remain in protected backups for up to 90 days before being overwritten or securely deleted.
- Information in protected backups will not be restored to normal use unless required for security or disaster recovery.
- Billing, payroll, tax, legal, fraud-prevention and suppression records may be retained where necessary.
Where UK data-protection law applies, we will normally respond to an individual-rights request within one month. This period may be extended where permitted for a particularly complex request, and we will explain any extension.
Information we may retain
We may retain limited information where necessary to:
- Comply with employment, tax, accounting or other legal obligations.
- Prevent fraud and protect platform security.
- Maintain a record of a marketing opt-out.
- Resolve disputes.
- Establish, exercise or defend legal claims.
Records relating to placements, temporary work, payroll, invoices and accounting are generally retained for six years.
Where Avellio is acting as a processor, the relevant business customer may also be legally required to retain certain information.
Confirmation
We will confirm when the deletion process has been completed or explain:
- What has been deleted.
- What information must be retained.
- The reason for retaining it.
- Any further action required from you.
